Quercus: Student Records Management System
RCSI needs to collect personal data, as defined by the Data Protection Acts, for a variety of purposes, in order to conduct its business in an efficient and accountable manner. RCSI collects data relating to students, who come into contact with the college. Personal data is collected, managed and used for purposes including the admission, assessment and examination of students and their academic performance, the management and conduct of research activities, and management of graduation.
The Data Protection Acts confer rights on individuals in relation to the collection, use, sharing and retention of personal data. They also confer responsibilities on RCSI relating to the manner in which it collects, uses, shares and retains personal data.
Data Protection Statement
RCSI is committed to comply with the Data Protection Acts 1988, 2003. This ensures compliance with the eight principles of data protection as set out in the legislation:
1. To obtain and process personal data fairly
2. To keep it only for one or more specified and lawful purposes
3. To use and disclose it only in ways compatible with the stated purpose(s)
4. To keep it safe and secure
5. To keep it accurate, complete and up-to-date
6. To ensure that it is adequate, relevant and not excessive
7. To retain it for no longer than is necessary for the purpose for which it was collected
8. To give a copy of his/her personal data to an individual, upon request.
The Student Academic and Regulatory Affairs (SARA) department, the owner of Quercus, will put specific procedures in place to ensure that the 8 principles are adhered to and that all relevant staff will receive necessary training and support.
Failure to comply with this policy may lead to disciplinary action, up to and including dismissal in the case of staff or expulsion in the case of students, being taken in accordance with RCSI’s disciplinary procedures. Failure of a third party contractor/subcontractor to comply with this policy may lead to termination of the contract and/or legal action.
