The Application Team in RCSI support the following applications.

The services provided by the Application team for each system should be agreed with each business owner.

Requesting a change to a system

The RCSI IT plan for the allocation of IT resources to project has been agreed with SMT as part of the overall 5 Year RCSI Strategic Plan. The current list (13/10/20) of ongoing projects are:

  • THEP Technology.
  • Student Services – Clubs and Societies.
  • Upgrade of RCSI Technical Infrastructure.
  • Outstanding work on the RCSI website.
  • Rollout of the Digital Recruitment Tool.
  • Creation of the blended program for Post Grad Nursing “Wound Management and Trauma”.
  • Creation of the blended program for the IOL “Digital Transformation and Leadership”.
  • Digital Transformation project to support new and existing student return.

For changes required, to applications that are not on the approved list of projects, IT will assess whether they can be supported as RCSI have a limited number of resources available in IT.

Changes will be prioritised and implemented, based on a review of needs, priority, and IT resource capacity.

Categories of Application Change:

Business As Usual change: If the change is a repeating change, it can be considered as business as usual change, and operating process are likely to be in place to manage this.

Small application change: Any configuration or code needed on a system that has not been undertaken before. Change that requires more than 0.5 day effort.

Large applicatin change: Any configuration or code needed on a system that has not been undertaken before, and the change requires more than 5 days effort.

Requests for small and large application change should come through the change request process below.

Changes are reviewed on the third Tuesday of the month.

As per best industry practice, the implementation of even the smallest code change on an application must go through the development life cycle (Analysis, Design, Code, System Test, UAT, Deployment).  Due to all these steps, a number of resources must be available at the same time to be assigned to these tasks.

Change Request Process:

To request change to be made on a supported application, please submit a request using this form:  Request Change to an existing application

Requests will be assessed every 2-4 weeks.

An internal IT change planning meeting takes place on the third Tuesday of the month.

A reponse will be provider to people who have submitted request to indicate if the change is likely to be possible in the

  • short term (> 3 months),
  • medium term (between 3-6 months),
  • longer term ( > 9 months away)

Please be aware of certain periods in the academic calendar

Orange Period: Limited capacity to start other change work during this time.

October to November: Many systems get updated in October and November.

May to July: Start of academic year IT system changes are undertaken May to July.

Red Period: Change management is on hold.

August to September: All IT resources are dedicated to start of academic year set up.   No change requests analysis can be undertaken during this period.
