Secretarial Grade A – Junior Secretarial

Work at this level is predominately routine clerical / administrative in nature and is characterised by task based activity. The work operates within standard work routines and may involve non-routine tasks.

Job Competency:

  • Job competence is usually reached within several months.

Overview of tasks / responsibilities:

  • Non complex routine activities with some element of initiative required
  • Work tends to be allocated or supervised by a senior officer / manager or another who acts as a point of contact to refer queries and assist in resolving issues.
  • Routine administrative tasks that usually requires an orientation to office routine and skills in operating and adjusting common office equipment (e.g. high volume copiers).
    • Provides administrative support to department
    • Schedules meetings and appointments
    • Processing payments, invoices vouchers etc.
    • Verification of calculations, authorisations,
    • Raising of standard letters, documents etc.
    • Operating databases
    • Routine report generation

Secretarial Grade B – Experienced Secretarial

Work at this level is characterised by activity based work which operates to standard work routines and which may involve some patterned problem solving / analysis with occasional variability. Incumbents within this grade should demonstrate the application of technical administrative skills in the discharge of their duties, helping to identify solutions as well as processing the work.

Job Competency:

  • Job competency usually occurs within 2 to 4 years.

Overview of tasks / responsibilities:

  • Incumbents are required to work on their own initiative and demonstrate a comprehensive knowledge of the relevant RCSI procedures and their importance to the overall function of the department to which they provide administrative support.
  • While supervised by a senior officer / manager, incumbents should be able to deal with standard queries and only refer upwards for non-standard complex queries.
  • Responsible for complex administrative requiring heavy coordination, scheduling and administration
    • Provides secretarial administrative support
    • Performs routine administrative work such as collation and routine analysis of information
    • Composes, types and sends out standard letters without approval, preparing non-standard correspondence for approval.
    • Deals with incoming queries to the department and forwards as appropriate
    • Pulls together and compiles documentation from a number of sources
    • Schedules meetings and appointments
    • May be required to give guidance to junior staff within the department.
    • Attends and minutes meetings
